The Mailing After The Vote

I've wanted to share this post for a few days now, but all the letters and what not is on my office computer and I haven't been in the office long enough to write this post.

Last Tuesday the office mailed out a packet of information. I wanted to make sure every one knew what to expect the next 7 months. The mailing consisted of a letter (I'll post it at the end of this post), a sheet to fill out which asks for favorite Bible passages and favorite hymns, a sheet where people could fill out which committees they wish to join, and a calender for the next 7 months that has worship dates, meetings and other activities now known on it.

I think I sent this mailing more for myself. I have a need to be very organized and I wanted to get some of this out of my head and into the hands of everyone. I also did want to make sure people knew that there is a plan.

Here are the components of the mailing:

Brothers and Sisters in Christ,
At a Special Congregational Meeting on December 4th the voting members Our Congregation voted to dissolve as a congregation.  This means the church will be closing.

There are a few big items that the Church Council would like to share with you:
·         The final worship date called a Taking Leave Service is Sunday, June 10 at 10am
·         The celebrations worship service is Sunday, May 20th at 1pm.
·         Included in this mailing is a calendar of worship dates and other events happen over the next seven months.
o   Starting in January nearly every other week the congregation will begin visiting other neighborhood congregations to help with the process of finding new church homes. Before coming to church please note where the service will be located.
o   Take note of dates for all other events
·         The weeks we are worshiping at Our Congregation we will sing our favorite hymns and the reading for the day will be our favorite texts. Please fill out the enclosed form to submit your favorites!
·         There are committees that need to be filled in order to get the work of the church done before our final worship date. Please consider joining one:
o   Worship: Plan Celebration Service, Taking Leave Service
o   Disbursement of Assets: Make recommendations regarding the gifting of our financial assets and the money from the sale of the building. These recommendations will be voted on at a Special Congregational Meeting on Sunday, March 4th after worship. This team will work with people from the Synod Office.
o   Holy Things: will handle the Holy Items of the congregation like crosses, communion ware, bibles…
o   Property: Clean out the building and have say on what gets placed out for the Silent Auction on Saturday, March 17 from 1-5pm and the Open House on Saturday, March 31 from noon-4pm. This team will also be responsible for organizing these two events.
o   Social: Plan thanksgiving events and dinners. Dates and kinds of events are to be determined by the committee.
o   Archive: Go through the Congregations records. Council minutes, annual reports, photos… This committee will decide what is to be given away to the members of the congregation and what is to be placed in the Archives of the synod.
o   Personnel will work with the staff of the congregation and determine severance packages. This team will work with people from the Synod Office.
o   Mission: plan mission events and determine use of the weekly tithes through offering.
·         There will be a box on the table in the back of the sanctuary where you can place any questions you have about this process. There will be weekly congregational mailing to help keep everyone informed of what is going on. If you have a question, please place it in this box and the questions will be answered through the weekly mailing.
